How to Hire Someone Outside VirtualStaff (Invite Staff Feature)

Do you already have a Philippine-based staff you hired online?

If you’d like to onboard them as contractors or enroll them under our Employer of Record (EOR) service, you can easily do so through VirtualStaff.ph.

With the Invite Staff feature, you can seamlessly bring your Filipino staff into VirtualStaff’s HR and Payroll system—no existing account required. 

Note: This applies as long as the talent are Filipino citizens currently residing in the Philippines for tax and compliance purposes.

Step-by-Step Guide to Hiring Someone Outside VirtualStaff

Step 1: Access the Invite Staff Page

1. Navigate to the Job Openings section on your VirtualStaff dashboard and click on “Add new hire.”

2. Select the option "Outside the Platform."

This option is for hiring someone you found outside VirtualStaff while utilizing our HR and Payroll solutions.

3. Click on “Proceed”.

Step 2: Enter Basic Information

Fill in the following details about the external hire:

  • Full Name
  • Personal Email
  • Country (Pre-set to the Philippines and cannot be changed)

Click Next to continue.


Step 3: Select a Pricing Plan

You’ll be prompted to choose between two hiring options:

You can hire staff through two options: the Independent Contractor Plans or the EOR Plan.

Choose the best option for your business and proceed.



Independent Contractor Plans:

  • Choose from two hiring plans: Independent Contractor and Independent Contractor Plus plan.

Define Employment Terms

  • Specify job title, employment type, payment frequency, Monthly rate, start date, and offer expiry date.
  • Ensure all terms align with your expectations before proceeding.

Read the Contract

  • Enter your business details (company name, address, etc.).
  • Review the contract carefully before signing.

Finalize the Contract and Send Job Offer

  • Click "Send Offer" to officially extend the job offer to the candidate.

Employee With Benefits:

With the Employer of Record (EOR) plan, we take care of all formal employment responsibilities. This includes payroll, benefits, compliance, and legal protection, enabling you to seamlessly hire and manage full-time employees in the Philippines without the need to set up a local entity.

  • Select the plan and click “Continue” to proceed with hiring under the EOR plan.

Enter Job Offer Details

  • In the next step, enter key job offer details, including the agreed monthly salary, expected start date, and offer expiration date. As you input the salary, a detailed breakdown of the total cost, including benefits, will be displayed on the right side.

Review and Sign the Contract

  • Enter your business details (company name, address, etc.).
  • Review the contract carefully before signing.

Finalize the Contract and Send Job Offer

  • Review all the details and click "Send Offer" to officially extend the job offer to the candidate.

What Happens After Sending the Invite?

  • The talent receives an email invitation with the job offer details.
  • They will appear in your Hired Staff List with a status of "Waiting for Signature."
  • No actions can be taken until the talent creates an account and signs the contract.

If the Job Offer Expires

  • The invitee is automatically removed from the Hired Staff List.
  • Status in Offers Sent will change to "Expired."

If the Job Offer is Accepted

  • Payment is required to make the hire official.
  • The Staff Profile will become viewable in your dashboard.
  • The staff appears under ACTIVE JOBS immediately.
